ARTICLE VIII Faculty Adviser Section 1. There shall be a Faculty Adviser for the Society. Section 2. The Faculty Adviser shall be the one on a full-time or part-time status and shall teach a subject in which some of the members of the organization is enrolled. Section 3. The Faculty Adviser shall be directly responsible to the Dean of Student Affairs and PUP San Juan Director for the proper conduct of the activities of the organization. ARTICLE IX Committees Section 1. The HRM Society shall constitute the following committees: A. Chairmanship B. Programs & Invitations C. Reception D. Food & Refreshments E. Physical Arrangements F. Documentations And such other committees as it may deem necessary Section 2. A host class may be assigned by the HRM Society as members of each committee. Section 3. The Chairperson of each committee shall be designated from among the elected officers of the HRM Society. Section 4. Each committee shall keep minutes of its proceedings and report the same to the Over-all Chairman of the activity. ARTICLE X Election Section 1. Election of nineteen (19) HRM Society officers by the Central Governing Body shall be done on the last week of February right before the end of the second semester. Section 2. The following have the rights to be nominated during the election proceedings. A. Any member of the Central Governing Body; and B. Any outgoing officer who wants to run for any position even if he is not a member of the Central Governing Body. Section 3. The outgoing President shall preside over the proceedings of the election. Section 4. All members of the Central Governing Body shall be entitled to one vote for each position. Section 5. Election of officers shall be decided upon by simple majority of the Central Governing Body. Section 6. The officers shall hold office for one school year or until their successors are duly elected and qualified. ARTICLE XI Meetings Section 1. There shall be 3 general assemblies in one school year. The first shall be held within 12 days from the start of the school year to present the new set of officers as well as the calendar of activities. The second shall be within the last week of before the end of the first semester to receive and approve the reports of the President about activities undertaken and to discuss the remaining activities to be executed for the other half of the school year. The last shall be held at the last week of February to receive and approve the reports of the Treasurer and to elect new set off officers for the next school year. Section 2. Regular meetings of HRM Society officers shall be held weekly on time/place agreed upon by the officers and adviser based on their schedules. Section 3. Special meeting shall be called from time to time by the President or by a simple majority of officers. ARTICLE XII Removal of Office Section 1. Any officer may be impeached upon written petition to the Dean of Student Affairs by a majority of members of organization. Section 2. The grounds for impeachment shall be any of the following. A. Malversation of Funds; B. Cross Negligence and Misconduct; C. Culpable Violation of the Constitution; and D. Other grounds which the HRM Society deems prejudicial to the best interest of the organization. Section 3. Any officer who incure five (5) absences in meetings and activity may be removed from the office upon the decision of simple majority of the officers. Section 4. Cases of impeachment shall be investigated by the adviser/s of the HRM Society. Section 5. Judgment in cases of impeachment shall be made by the Chairperson of the HRM Society. Section 6. When an officer has been removed from the office, the replacement for the position may be elected and / or appointed from Central Governing Body by a simple majority officers. ARTICLE XIII Audit of Funds Section 1. Before the end of the school year, the President or Auditor shall submit to the PUP San Juan Director, Dean of Student Affairs and Internal Audit, an audited statement of account of the Society. Section 2. The HRM Society Auditor, with proper guidance from the faculty adviser, shall audit the funds of the organization. Section 3. Any remaining funds in the possession of the organization shall be disposed upon by the decision of the outgoing officers either through donations to the HRM Department or to be turned over to the new set of HRM Society officers. ARTICLE XIV Amendments Section 1. Any amendment to, or revision of, this constitution may be proposed by the Central Governing Body and/or a simple majority of officers upon a vote of two-thirds of all its members. Section 2. Any amendments to, or revision of, this constitution shall be submitted to the PUP San Juan Director and Dean of Student Affairs in accordance with approved rules. Documented Version
